Run a team review and share a Canvas snapshot
Navigate the plan, update the work, and choose a useful handoff format.
Use Canvas in a review when the team needs to understand relationships, handoffs, or the stage of an initiative. Finish with changes to the actual work records so the discussion carries into daily task management.
Prepare the view
- Open the right project's Design canvas. Use Fit to screen, the minimap, search, or a named pin to reach the relevant area.
- Give the diagram a clear heading and explain any color or pin convention. Remove ambiguity before adding more detail.
- Open Show task table or the project's All Tasks view when you need to inspect owners, dates, and statuses.
- Confirm that participants can access the project and any linked source documents. Seeing the canvas does not automatically grant access to an external file.
Review in a useful order
Start with decisions and blockers, then the next handoff. Open the relevant task to confirm its current status, owner, and next action. If the layout is a process map, agree which path applies. If it is a work breakdown, inspect the parent relationships. If it is a stage map, move the relevant pin only after agreeing on the stage.
Finish the review: update the real task records, add any missing action as a Task node, and confirm that the responsible colleague can find it in the applicable task views. A sticky note saying “follow up” is not an assigned task.
Share the right output
Use the live project view for ongoing work by people with access. For a visual snapshot, choose File → Export PNG, Export PDF, or Copy canvas as image. Review the result before sending it: check readability and the appearance of embedded material and markers. Do not assume every externally hosted item or overlay will appear exactly as it does on screen.
For a structured selection, select the relevant items and use Copy selection as JSON or Download selection as JSON. This is a selection export, not a full backup of project tasks, access rules, linked documents, or the workspace. These guides do not establish a supported full restore from that file.
A snapshot does not refresh when the task changes. Add the review date and enough context for the recipient to know what it represents.
Solve common problems
| What you see | What to check |
|---|---|
| A Task is hard to locate on a large canvas | Search nodes, use a pin, or search the project's All Tasks before creating another task |
| A Canvas task is absent from Overview | Included projects, filters, Mine/Team selection, assignment, and access |
| A work connection is rejected | Item types and direction in the connector guide |
| A process arrow creates a hierarchy | Work was enabled; review the relationship before rebuilding the intended ordinary connector |
| A node is in a lane but has no owner | Set the actual task assignee; position does not assign work |
| A pin moved but progress did not change | Pins are manual markers; update the task record separately |
| A linked document is blank or inaccessible | Source permissions, the URL, and provider embedding restrictions |
| An edit or reassignment is unavailable | Project access, item state, and task assignment policy |
| The ribbon is hidden | Use the floating View control to restore it |
Result: the team leaves with a readable plan, updated work, and an appropriate snapshot when one is needed.
